Privacy Policy

1. Who we are

This website, www.epicmod.ca (the “Site”), is operated by EpicMod Building Systems Inc. (“EpicMod”, “we”, “us”), a modular home and panelized framing manufacturer based in Ontario, Canada. We are responsible for the personal information collected through the Site and are accountable for it under Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA). This policy explains what we collect, why, who we share it with, and the choices you have.

2. Information we collect

Information you give us

When you fill in a form on the Site, call us, or otherwise contact us, we collect the information you choose to provide. Depending on the form, that can include:

• your name, email address, and phone number;
• the property address, municipality, or project location you want to build on;
• the model you are interested in, your intended use, roof preference, timeline, and any details you type in the message box;
• for dealer, developer, and workforce-housing inquiries: your company name, business type, estimated unit volumes, and coverage area.

Only the fields marked with an asterisk are required. We ask for a property address or location only so we can assess site suitability, delivery logistics, and municipal requirements. You may leave it blank if you prefer.

Information collected automatically

Like almost every website, the Site is served through a hosting and security provider (Cloudflare) that records standard technical log data for security, fraud prevention, and performance: your IP address, browser type and version, device type, the pages you request, referring page, and the date and time of each request. We also use Google Analytics 4 to understand how visitors use the Site (see section 6). We do not run advertising trackers on the Site, and we do not build profiles of individual visitors.

3. How we use your information

• to respond to your inquiry, prepare a site analysis, and provide pricing or quotes you asked for;
• to evaluate dealer, volume-supply, and developer applications and to communicate with you about them;
• to arrange and deliver products and services you order from us;
• to keep the Site secure, prevent spam and abuse, and diagnose technical problems;
• to meet our legal, tax, and regulatory obligations and to establish, exercise, or defend legal claims.

We do not sell, rent, or trade your personal information.

4. Consent and marketing

By submitting a form you consent to us using the information you provide to respond to your request. You can withdraw your consent at any time by contacting us (see section 14), subject to legal or contractual restrictions, and we will tell you what the consequences of withdrawal would be, if any.

We only send commercial electronic messages (such as promotional emails or texts) with your express consent, in accordance with Canada’s Anti-Spam Legislation (CASL). Submitting an inquiry does not sign you up for marketing. Every marketing message we send will include an unsubscribe mechanism.

5. Who we share your information with

We share personal information only with the service providers and parties listed below, and only to the extent needed for the purposes described in this policy. Each provider is permitted to use the information only to provide its services to us.

If EpicMod is involved in a merger, acquisition, financing, or sale of assets, personal information may be transferred as part of that transaction, subject to the commitments in this policy.

6. Cookies and tracking

Strictly necessary cookies. Our hosting provider may set a small number of cookies that are required for the Site to work securely (for example, to distinguish humans from automated bots or to protect our administration pages). These do not identify you for marketing purposes and do not require your consent under applicable law. Fonts and images are served from our own infrastructure, so page views are not reported to third-party font services.

Analytics cookies. As of September 9, 2026 the Site uses Google Analytics 4, a service of Google LLC, to measure how the Site is used so we can improve it: which pages are viewed, roughly where visitors are located (city level), what device and browser they use, and whether tools such as the HST rebate calculator are completed. Google Analytics sets first-party cookies (named _ga and _ga_ followed by an identifier) that contain a random ID and expire after up to two years. We have configured it so that IP addresses are truncated before storage, Google Signals is turned off, and the data is not used for advertising personalisation. Analytics records which options you select in our tools, such as the model and municipality chosen in the rebate calculator, and which forms are submitted. The information sent to Google does not include your name, email address, phone number, property address, or any text you type into a form. Google processes this data on servers in the United States and elsewhere under its own privacy policy.

Your choices. You can block or delete cookies through your browser settings at any time, and you can prevent Google Analytics from running in any browser by installing Google’s opt-out browser add-on. Blocking analytics does not affect your ability to use the Site. We do not use advertising cookies, tracking pixels, or social-media plug-ins. If we ever add advertising technology, we will update this policy first and, where the law requires it, ask for your consent before it is activated.

7. Where your information is processed

EpicMod is located in Ontario, Canada. Some of the service providers listed above store or process data on servers outside Canada, including in the United States. While your information is in another country it may be accessible to the courts, law enforcement, and national-security authorities of that country under its laws. We use contractual and technical safeguards to protect your information wherever it is processed.

8. How long we keep it

We keep inquiry and correspondence records for as long as reasonably necessary to respond to you, to maintain a record of our dealings with you, and to meet legal, tax, and warranty obligations. Records relating to a purchase are kept for the life of the product warranty and any statutory limitation period that follows. When information is no longer needed we delete it or anonymize it.

9. Security

We protect personal information with safeguards appropriate to its sensitivity, including encrypted connections (HTTPS) across the entire Site, access controls and multi-factor login on our administration tools, and limiting access to staff and providers who need it. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. If a breach creates a real risk of significant harm to you, we will notify you and the Office of the Privacy Commissioner of Canada as required by law.

10. Your rights and choices

Subject to certain legal exceptions, you have the right to:

• Access the personal information we hold about you and learn how it has been used and to whom it has been disclosed;
• Correct information that is inaccurate or incomplete;
• Withdraw consent to our continued use of your information;
• Ask us to delete information we no longer need for the purposes described here;
• Complain to us and, if you are not satisfied, to the privacy regulator (see section 14).

To exercise these rights, contact us using the details in section 14. We will respond within 30 days and may need to verify your identity first. There is no charge for a reasonable request. If you are located in a jurisdiction that provides additional privacy rights (for example, certain U.S. states or the European Economic Area), we will honour those rights to the extent they apply to you.

11. Children

The Site is intended for adults. We do not knowingly collect personal information from anyone under 18. If you believe a minor has provided us with personal information, contact us and we will delete it.

12. Links to other websites

The Site contains links to third-party websites, such as our partner site modularhomeson.com. We are not responsible for the privacy practices or content of those sites, and this policy does not apply to them. Please review the privacy policy of any site you visit.

13. Changes to this policy

We may update this policy from time to time. The effective date at the top of the page shows when it was last changed. Material changes will be highlighted on the Site, and continued use of the Site after a change means you accept the updated policy.

14. Contact and complaints

Questions, access requests, corrections, withdrawal of consent, and complaints go to our Privacy Officer through the privacy request form. Choose “Privacy request” as the inquiry type (it is preselected when you follow that link), tell us what you need, and we will reply within 30 days.
